This statement explains what personal information we collect, why, who sees it, how long we keep it, and what you can do about it.
We keep it as short as the law allows. If something is unclear, ask us.
1. Who We Are
Customer Experience Insight Pty Ltd ABN 61 634 039 759, trading as WA AI Hub, Western Australian AI Hub and Responsible AI Governance Sprint, of Perth, Western Australia (we, us), runs the website at aigovsprint.online, the AI Governance Hub™ and the Responsible AI Governance Sprint™.
We decide why and how the personal information described here is used. In privacy law terms we are the controller. Our Privacy Officer can be reached at privacy@wahub.ai or through the contact form.
2. Our Position Under Privacy Law
Our annual turnover is below $3 million. That makes us a small business operator under the Privacy Act 1988 (Cth), and small business operators are generally not required to comply with the Australian Privacy Principles (APPs).
We have chosen to handle personal information in line with the APPs anyway, including the open and transparent management, collection, use and disclosure, overseas disclosure, security, access and correction principles, and the automated decision-making transparency rules in APP 1.7 to 1.9 that start on 10 December 2026. We handle suspected data breaches in line with the Notifiable Data Breaches scheme. We make this commitment to you, and you can hold us to it.
If the law changes and the exemption no longer applies to us, we will comply with the law from the date it applies.
The Spam Act 2003 (Cth) and the Australian Consumer Law apply to us whatever our size. We are a private company, so the Privacy and Responsible Information Sharing Act 2024 (WA) does not apply to us. It applies to Western Australian public entities.
If you are in the European Economic Area (EEA) or the United Kingdom, the General Data Protection Regulation (GDPR) or the UK GDPR may apply to our handling of your personal information. Where it does, we follow it, and the sections below on lawful bases, your rights and international transfers are written for you.
We have not appointed a representative in the EEA or the United Kingdom. We do not target our services at people there, and we expect to handle their personal information only occasionally and at low risk. If you are in the EEA or the United Kingdom, you can still contact us at the address above.
3. What This Statement Covers
This statement applies to personal information we handle about:
visitors to aigovsprint.online; people who create an account; Hub subscribers and the seats on a team plan; people who apply for the Sprint; Sprint participants; people who contact us; and people who receive our communications.
Our services are for adults. We do not knowingly collect personal information from children. See our Children's Policy.
4. Information We Collect
| Who you are | What we collect | Where it comes from |
|---|---|---|
| Visitor | IP address, browser and device type, and the pages requested, in server logs kept by our hosting provider. If you accept analytics: pages visited, referrer, and country and device type, without cookies. | Your browser |
| Account holder | Name, email address, a password (which we never see, because our identity provider stores it in protected form), sign-in times, IP address and device details, and your account status. | You, and our identity provider |
| Hub member | Jurisdiction and industry preferences, and the email digest frequency you choose. | You |
| Hub subscriber | Plan, status, trial and renewal dates, your Stripe customer reference, and for team plans the email address of each seat. Billing name, address, ABN and tax ID, and your payment card details, are collected and held by Stripe, not by us. | You, and Stripe |
| Sprint applicant | Name, work email, current role, organisation type, primary interest area, and how ready you are to take part (optional). Whether you ticked the optional marketing box, and when. The application status and payment status we record for you. | You |
| Sprint participant | The above, with your payment status, and any work you choose to share with the group. | You |
| Person who contacts us | Name, email, subject and your message. | You |
We do not ask for government identity documents, dates of birth, or precise location. If you give us anything we did not ask for, we will treat it with the same care.
We do not knowingly collect information about children, and we ask you not to give us any.
5. How We Use Information, and Our Legal Bases
We use personal information only for the purposes in the table. The last column is for people in the EEA and United Kingdom, where the law asks us to name a lawful basis.
| Purpose | What we do | GDPR lawful basis |
|---|---|---|
| Provide your account and the Hub | Sign you in, show paid content, save your preferences, send the digest you chose | Contract (Article 6(1)(b)) |
| Take and manage payments | Create subscriptions, send tax invoices, handle refunds and cancellations, and meet tax and accounting duties | Contract; legal obligation (Article 6(1)(c)) for records |
| Assess and run the Sprint | A person reviews applications and admits participants, runs the cohort, records completion | Contract and steps before a contract (Article 6(1)(b)) |
| Respond to you | Answer enquiries and support requests | Legitimate interests (Article 6(1)(f)), which is replying to people who contact us |
| Keep the service secure | Prevent abuse, fraud and unauthorised access, and keep logs | Legitimate interests (Article 6(1)(f)), which is protecting our service and our members |
| Marketing | Send you news, events and offers if you opted in. You can say no, and you can withdraw at any time | Consent (Article 6(1)(a)) |
| Analytics | Measure which pages are used, after you accept analytics | Consent (Article 6(1)(a)) |
| Improve our services | Understand which programme content works, using aggregated or de-identified information where we can | Legitimate interests (Article 6(1)(f)) |
We do not sell personal information, we do not use it for advertising, and we do not use it to train AI models.
We use personal information for a different purpose only if you would reasonably expect it and it is related to the original purpose, if you consent, or if the law requires or authorises it.
6. Marketing and Communications
We send two kinds of messages. Service messages are part of what you asked for, such as account, billing, application and programme messages. Marketing messages promote our programmes, events and resources.
We send you marketing only if you have said yes. That choice is separate from applying, subscribing or creating an account, and the answer does not affect whether you get a service. Each marketing message identifies us and has an unsubscribe link.
You can withdraw consent at any time by using the unsubscribe link, or by email to privacy@wahub.ai. We act on it within 5 business days. Withdrawing consent does not affect past use.
7. Automated Processing and Decision-Making (APP 1.7 to 1.9 and GDPR Article 22)
We tell you plainly where a computer program touches a decision about you, and what part a person plays. The obligations in APP 1.7 to 1.9 start on 10 December 2026. The OAIC asks entities in doubt to take a cautious approach, so we describe every use below, including some that may fall below the threshold.
Automated content check on forms
- What is automated
- When you submit an application or an enquiry, an automated check screens the text you entered for abusive content and for nonsense such as keyboard mashing.
- Kinds of personal information used
- The text you enter: your name, email address, role, organisation type, area of interest and free-text answers.
- Kinds of decisions involved
- None. The check does not assess your suitability or decide whether you are admitted.
- Human review
- A person reads every application and makes every admission decision. A flagged submission goes to that person, not to a refusal. Name fields are never checked for coherence, because that is not a valid test of a person's name.
- How to seek review
- If you think a check treated you unfairly, email privacy@wahub.ai and a person will look at it. You can ask what was flagged and why.
Payment fraud screening by Stripe
- What is automated
- Stripe, our payment provider, uses its Radar program to score card payments for fraud risk. On our account, Radar automatically blocks a payment only when the card, email address or IP address matches one of Stripe's default block lists. A higher risk score on its own does not block a payment. The card issuer, such as your bank, may also decline a payment for its own reasons.
- Kinds of personal information used
- Payment card details and card fingerprint, email address, IP address, billing details, and device and behaviour signals that Stripe collects.
- Kinds of decisions involved
- Whether a card payment for a Hub subscription or the Sprint goes through. A blocked payment can stop you buying. We do not see the score, and Stripe does not tell us which list matched.
- Human review
- We do not set our own fraud score. If a payment is blocked, you can try another payment method, or contact us and a person will help and, where one is available, arrange another way to pay.
Sign-in bot protection
Our identity provider may automatically challenge or block sign-in and sign-up attempts that it judges to be automated. It uses your IP address, device and behaviour signals. If you are locked out, contact us and a person will help.
What we do not do
We do not use automated scoring, ranking or profiling to assess applicants, and an automated check cannot refuse an application.
We do not use artificial intelligence to decide admission, pricing, refunds or access to a service.
We use AI language models to help find, draft and check public information for the Hub, such as laws and policies. We do not give them members' personal information.
We do not make decisions about you based solely on automated processing that produce legal or similarly significant effects, so GDPR Article 22 does not apply to our use of your information.
8. Who We Disclose Information To
We share personal information with the providers that help us run the services. We choose them with care and give them only what they need.
| Provider | What it does for us | Information involved | Where it is processed |
|---|---|---|---|
| Vercel | Hosts the website and runs our code | Requests and logs, including IP address. Analytics only if you consent. | Our code runs in Sydney, Australia. Global content delivery and logs may be handled in other countries, including the United States. |
| Neon | Hosts our database | Subscription records, preferences, seat emails | Sydney, Australia |
| Clerk | Sign-in and account management | Name, email, password in protected form, sign-in details, application and payment status | United States and other countries where Clerk operates |
| Stripe | Takes payments, issues invoices, screens for fraud | Billing and card details, email, IP address | Australia and other countries, including the United States |
| Formspree | Sends us an email to say a form was submitted. The email holds no personal information. Your form answers are kept in our own database, not by Formspree | A reference number and the kind of form | United States |
We also disclose personal information to external reviewers who help assess applications, under confidentiality terms, and to a sponsoring government department only where you have been told or agreed. We do not disclose it to others for their own use.
We may disclose information where the law requires or authorises it, for example to a court, regulator or law enforcement agency, or to protect our legal rights or someone's safety. We may also disclose it to our professional advisers, and to a buyer of our business, who must keep it protected.
9. Overseas Disclosure and International Transfers (APP 8 and GDPR Chapter V)
Some providers above process information outside Australia, mainly in the United States. Before we disclose personal information overseas, we take reasonable steps to ensure the recipient handles it in line with the APPs, for example through contract terms and by choosing providers that hold independent security assurance such as SOC 2 or PCI DSS reports.
If you are in the EEA or United Kingdom, we rely on safeguards that those laws recognise for transfers, such as the European Commission's standard contractual clauses or an adequacy decision, as our providers offer. You can ask us for details.
10. How We Protect Information
We take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure. Our measures include:
HTTPS on every page, with strict transport security so that browsers connect securely.
Encryption of stored data by our database and hosting providers.
No payment card details on our systems. Card details are entered on Stripe's own page.
Passwords held only by our identity provider, in protected form.
Access to administrative tools limited to named staff who sign in through our identity provider, and secrets held in a managed secret store, not in code.
Automated checks on our code before it is released, and providers that publish independent assurance reports.
Data breaches
If personal information is lost or accessed without authorisation, we will assess it promptly, and within 30 days at the latest. If it is likely to result in serious harm, we will notify the people affected and the Office of the Australian Information Commissioner, as the Notifiable Data Breaches scheme requires. Where the GDPR applies, we will also notify the relevant supervisory authority within 72 hours of becoming aware, where it is required, and affected individuals where there is a high risk to them.
11. How Long We Keep Information
We keep personal information only as long as we need it for the purpose we collected it, or as the law requires. When we no longer need it, we delete it or de-identify it. We review our records at least once a year to make sure that happens.
| Information | How long |
|---|---|
| Account details | While your account is open. If you do not sign in for 3 years, we email you and then close the account 30 days later, unless you have a subscription or a record we must keep. We delete details within 30 days of a verified request or closure. |
| Hub preferences | While your account is open |
| Subscription, invoice, refund and payment records | 7 years after the transaction, as the corporations and tax laws require. The email address of a team seat is removed 12 months after the subscription ends. |
| Applications we do not accept | 12 months after you apply, and the application record on your account is cleared 12 months after the outcome |
| Sprint participant records | 2 years after your place was confirmed or paid for |
| Contact enquiries and payment-method requests | 24 months after you send them |
| Complaints and privacy requests | 6 years after we close them, to be able to answer any later claim |
| Proof of your marketing choice (yes or no) | 6 years after you made it, or after we last sent you marketing if later, to prove we had your consent. It holds only your email address, the time, the wording you saw and where you saw it. |
| Server logs and analytics | As kept by our providers under our plans. Analytics are collected only with your consent. |
| Backups | Until the database provider's backup window ends. We do not restore a backup without re-applying deletions. |
We keep a record for longer only if the law requires it, if a claim or complaint is open, or if you have an active subscription, refund or programme. Information that cannot be linked to a person, such as total counts, may be kept without limit. If you ask us to delete something we must keep by law, we keep only that record and use it for nothing else.
12. Your Rights
You can ask us to do any of the following. We reply within 30 days, free of charge. We may ask you to confirm who you are, and we will not ask for more than we need.
| Right | What it means |
|---|---|
| Access | Ask what personal information we hold about you and get a copy |
| Correction | Ask us to correct information that is inaccurate, out of date, incomplete or misleading |
| Deletion (erasure) | Ask us to delete it, unless we must keep it for the law or to defend a claim |
| Restriction and objection (GDPR) | Ask us to limit our use, or object to use based on legitimate interests |
| Portability (GDPR) | Get the information you gave us in a common, machine-readable format |
| Withdraw consent | Withdraw a consent at any time, which does not affect earlier use |
| Human review | Ask a person to review any automated check or decision that affects you |
To use a right, email privacy@wahub.ai or use the contact form, saying what you want and how to reach you. If we refuse, we will tell you why in writing and how to complain.
13. Complaints
Tell us first. Write to privacy@wahub.ai with details of your concern. We will acknowledge it within 5 business days and respond within 30 days.
If you are not satisfied, you can complain to the Office of the Australian Information Commissioner (oaic.gov.au (opens in a new tab), 1300 363 992, enquiries@oaic.gov.au, GPO Box 5218, Sydney NSW 2001). We recognise that the OAIC may not be able to investigate a complaint about a small business that is not covered by the Act, but we will deal with your complaint fairly in any case.
If you are in the EEA or United Kingdom, you can complain to the data protection authority in the country where you live, work or where you think the problem happened.
